Electronic signatures in Nextcloud – Made in Germany

With the integration of signotec into Nextcloud, you can sign PDF documents or request a remote signature. This can be done directly from within the Nextcloud file system, without having to manually transfer documents to a separate system first.

For users, this is particularly relevant in day-to-day work: contracts, approvals, forms or consent forms can be edited and signed directly from within Nextcloud. Modified files are then immediately saved as a new version in Nextcloud. This is made possible by signoSign/Universal, a web-based solution for viewing, editing and signing PDF documents, which supports both cloud and on-premises operation and also enables documents to be shared with external parties.

The signing processes are managed directly within Nextcloud. This ensures that documents, file versions and editing steps remain closely linked to the existing file system.

This is done directly via the file system in Nextcloud. Users can therefore continue working where the documents are already stored.

Control via the context menu

For PDF files, two options are available in the context menu when you right-click: ‘Sign file’ or ‘Request remote signature’. This speeds up access to the appropriate signing process.

Ad hoc signature

Clicking ‘Sign file’ opens the document immediately for editing. This is suitable for internal approvals or for signatures that need to be added directly without any additional sending process.

Remote signature

By clicking ‘Request remote signature’, an external party can be invited to sign via email. Optionally, access can also be secured with a password or TAN – without the need for any additional registration or app.

Dynamic signature fields

Signature fields can be generated dynamically. Among other things, search terms, width, height, spacing and the ‘required’ property can be defined for each signature field.

Versioning without a media break

Once the file has been signed, the updated version is immediately saved in Nextcloud. This ensures that the document history remains traceable within the existing system.

Sovereignty – Made in Germany

Nextcloud and signotec complement each other perfectly, delivering data sovereignty ‘Made in Germany’ – either as cloud environments or on-premises.

Legally valid signatures

The solution meets the requirements for advanced or qualified electronic signatures. Signatures are captured securely and the integrity of the documents is preserved. The data is stored in encrypted form within the document and can be used as legal evidence in the event of a dispute.
