Remote signatures with DIGISign

Seamless digital signatures with DIGISign – flexible, secure and DATEV-compatible
DIGISign is an application for all filing systems within the DATEV ecosystem, enabling documents to be digitally signed and then stored directly back into the DATEV DMS. This extension has been under development by DATEV Austria since 2019 and is available in both Austria and Germany. The PDF document to be signed is selected in the DATEV DMS, signed electronically and automatically archived with the relevant client for audit purposes. This is not only practical, quick and easy, but also makes every law firm a little more digital.
NEW: Remote signatures with DIGISign
Previously, the required signatures were provided on-site using a signotec signature pad. Since November 2021, it has also been possible to obtain so-called ‘remote signatures’ via DIGISign. This involves sharing the document with signatories who are not on-site, allowing them to provide their signature regardless of time or location. This is done quite simply in four steps:
Step 1: Select document
As usual, the document is selected in the DMS and the area for the signature is defined.
Step 2: Select contact and send
The desired contact can be selected directly from the client’s master data, or an email address can be entered manually. The invitation to sign is sent to the contact via email.
Step 3: Monitor the status of signatures
In DIGISign, you can view the status of individual documents released for remote signing at any time.
Step 4: File as a revision
Once all required signatures have been provided, the document is filed in the DMS as a revision of the original document.
The new feature is provided via the web-based application “signoSign/Universal” from signotec. Signatures can be provided either in the browser using a signature pad or on any smartphone or tablet. DIGISign continues to fully support all DATEV filing systems (DATEV DMS Classic, DATEV DMS and DATEV digital document storage). Documents can be selected individually for signing. Access to contacts stored in DATEV also makes it very easy to send documents based on the data stored in the system. Monitoring the status and returning the document to the DMS for revision can be done seamlessly directly from within DIGISign.
signotec’s high security standards naturally remain a priority in connection with this online solution. Every signature created in this way is an ISO- and eIDAS-compliant advanced electronic signature, which can therefore be uniquely attributed to the signatory. Furthermore, as before, corresponding revisions to the documents are automatically stored in all compatible DATEV filing systems.
Signing and storing documents digitally – whether on-site or online – DIGISign is a highly flexible solution for any law firm. This not only helps to avoid digital-to-analogue media breaks, but also reduces paper consumption and enhances the firm’s modern and digital image.
