Digital signatures in tax offices with Simba and signotec

Digitization in the legal sector is a decisive factor for efficient process chains and modern workflow structures. Simba Computer Systeme GmbH, a provider of comprehensive financial software for accounting, financial planning, and resource management, faced the challenge of providing its customers with a seamless and user-friendly solution for digital signatures. Until now, customers lacked a convenient solution that did not require complicated certificates, signature cards, or time-consuming authentication processes.

About two years ago, Simba began to take a close look at signature pads. The choice fell on the portfolio of signotec. In the first step, a local signature on site was implemented, which is directly integrated into the Simba DMS “Office Manager.”

Customers can sign documents directly using the signotec signature pad Sigma or Delta, and the signature is immediately processed and archived in the software. This makes it easier for law firms in particular to process documents efficiently and increases data security.

Based on the positive experiences with the local pad solution, the collaboration with signotec was expanded. A REST API now also integrates the sign documents online without having to be on site.

The process is simple:

• Activate the “Remote Signature” module in Simba
• Select the document and request the remote signature
• Place the signature field and enter the client’s email address
• Client opens the document via a secure link and signs it
• Signed document is returned to the sender and automatically updated in Simba
